01 One button, six doors

It follows you to every screen.

The plus sits in the top bar next to search, whatever module you are in. Open it and there are two halves: four things you can add, two statements you can view. No navigating away, no losing your place.

  • Quickly Add: Journal, Note, Query, Review Point. The four things accountants think of mid-task.
  • Quickly View: the Profit and Loss and the Balance Sheet, as they stand right now.
  • Each opens over your work and closes back onto it. The page you were on never changes.

02 The journal

A journal that will not let you post it wrong.

The journal number is already assigned. The date is already the year end. Type a software code and the account fills itself in. And until debits equal credits, a red Difference row sits there telling you exactly how far out you are.

  • Type 1222 and the row becomes 1222 - Sales. The code you already know is enough.
  • Post 500.00 Dr on its own and the Difference row shows 500.00 Cr, on the side that needs topping up. Balance it and the row disappears.
  • Narration and attachments on the journal itself, up to 5 MB. The evidence travels with the entry.

03 The account picker

Type "bank" and the chart answers.

Inside the journal, the account dropdown searches the whole chart of accounts as you type. Every bank account, every interest line, in one list. And if the account genuinely does not exist yet, the first option is Add New Account, right there in the dropdown.

  • "bank" finds 1404 Bank charges, 1407 and 1463 Bank interest, 1464 Bank loan interest, 521 and 522 Bank Account No 1 and 2. The demo chart, exactly.
  • Select From Chart or Add New Account, without leaving the journal you are half way through.
  • Pick one and the software code and description fill themselves in.

04 Note, query, review point

Three ways to say it, and each lands where it belongs.

A note is for the file. A query is for whoever has to answer it, and it is either a client query or an internal one, you choose. A review point is for the preparer. All three take a software code, so the thought attaches to the account it is about.

  • Type 1222 into any of them and the control account resolves to 1222 - Sales. Leave it blank on a note and it is a general note for the job.
  • Queries carry a switch the other two do not: Client Query or Internal Query. Who has to answer decides where it goes.
  • Everything lands on the control account, so the reviewer finds it on the account, not in an inbox.

05 Quickly View

The P&L and the Balance Sheet, without going anywhere.

Sometimes the question is not "let me add something" but "what does the year look like right now". The same menu opens either statement over your work, live figures, searchable, and the formula rows always in view.

  • Turnover 130,451.48. Gross profit 53,699.12. Net profit after tax 22,878.11. The demo year, and every one of those figures casts.
  • Search "credit" on the Balance Sheet and you get the creditors, with Net Assets 72,398.78 still on screen. The bottom line never scrolls away.
  • Close it and you are exactly where you were, mid-reconciliation, nothing lost.

06 Where it all goes

Quick to add. Never quick to lose.

Quickly Add is a shortcut in, not a shortcut out. The journal lands in Journals with its number. The query and the review point land on the control account, tracked until somebody clears them. Nothing posted through this menu is any less permanent than the long way round.

  • The journal is Journal - 6, numbered in sequence with every other journal in the file.
  • The query is recorded and tracked, so it gets answered rather than remembered.
  • The review point is compiled on its control account, exactly where the Control Account page showed you.

Why it matters

Thoughts have a half-life.

The journal you notice at 11am and post at 4pm is the journal you post slightly wrong, or not at all. Quickly Add exists so the distance between noticing and recording is one click, from wherever you happen to be standing.

The quiet one

The Difference row.

Post one side of a journal and a red line appears showing exactly what is missing, on the side that is missing it. It is double entry doing the arithmetic for you, and it will not go away until the journal balances.

Quickly View is half the menu.

The same plus opens the live Profit and Loss or Balance Sheet over whatever you are doing. Half the interruptions in a working day are just "what does the year look like", and now that question costs nothing.
