Tangible assets, stocks, turnover. Every control account in the file, grouped the way the accounts are grouped, one click from everything known about it.

  • Search it, or open the group and pick the account.
  • You can also arrive here from the trial balance, the extended trial balance, the balance sheet or the P&L. Every figure in the accounts is a link to the account behind it.
  • Which means nobody ever asks "where is the backup for this" again.

The balance, and how it got there.

Opening balance, every movement that touched the account during the year, closing balance. Papercare works it out from the ledger you imported and the journals you posted. You do not prepare it, and you never recalculate it.

  • Every movement carries its journal reference, and the journal opens straight from it.
  • Post a journal anywhere in the file and this account moves with it, immediately.
  • It balances. Every time. Not because somebody checked, but because it is worked out from the ledger rather than typed on top of it.

  • Show Current, Show Original, Show Journal, Reclassified From, Reclassified To. All scoped to this one account.
  • Reclassify from here, without leaving the account you were reviewing.
  • Total and difference at the foot, recalculating against whatever you are looking at.

The stock count belongs on the stock account.

Not in a folder called Support, and not in a link buried in an email. The document attaches to the account it supports, so the reviewer opens the account and the evidence is already sitting there.

  • Who uploaded it, when, and how big. On every file.
  • Search the attachment list, because a year-end file accumulates.
  • They also appear together in List of Attachments, if you want the whole file at once.

This is the point of the page. The balance, the transactions, the evidence, the client's queries, the reviewer's points and next year's notes are six tabs on one account. Not four systems and an inbox.

06 The hinge of the whole file

Every number in the accounts points here.

A figure in the balance sheet is a link. Click it and you land on the control account, with its balance, its transactions, its evidence and its review points. That is the difference between a set of accounts and a set of accounts you can defend.

The honest bit

The numbers were never the hard part.

Working out a balance takes minutes. Finding the document that supports it, six months later, when the person who did the job has left, is what actually costs your firm money.

The scattering problem

Four places, one account.

The figures are in one place. The evidence is in a folder. The review point is in an email. The client's answer is in a message on somebody's phone. Nobody designed that. It just happened, and every firm lives with it.

The reviewer does not have to ask where anything is, because there is nowhere else for it to be. That is the whole idea, and it is why the tabs matter more than any single one of them.
